Why Use Registration for Public Meetings?
Requiring registration provides a crucial layer of security.
- It Deters Disruptions: The need to fill out a form is a significant barrier for automated bots and casual disrupters ("Zoombombers").
- It Provides Insight: You receive a list of everyone who has registered, giving you an idea of who plans to attend.
- It Gives Each User a Unique Link: Each registrant receives a unique link to join, which should not be shared. This helps mitigate unauthorized access.
How to Set Up a Meeting with Registration
The registration feature is configured when you schedule your meeting on the FAU Zoom Web Portal.
- Go to the FAU Zoom Web Portal: https://fau-edu.zoom.us and sign in.
- Click Meetings on the left menu, then click the Schedule a Meeting button.
- Fill out your basic meeting details (Topic, Date, Time, Description).
- Find the Registration option. Check the box labeled Required.
- Once you check the box, two approval options will appear:
- Automatic Approval: Anyone who fills out the form will automatically receive the link to join.
- Manual Approval: You must manually review each registrant and approve or deny them.
- For most public events, Automatic Approval is sufficient.
- Configure any other meeting settings (like enabling a Waiting Room for extra control), then click Save.
Customizing Registration for Automatic Approval
After you save the meeting, you can customize the registration process.
- On the meeting management page, scroll down to the bottom. You will see several new tabs, including "Registration," "Email Settings," and "Branding."
- Click on the Registration tab, then click the Edit button on the right side of "Registration Options."
- A pop-up window will appear. Select the Approval tab.
- Ensure that Automatically Approve is selected.
- It is also recommended to check the box for "Send an email to host when someone registers."
- Click Save All.
Now, when a user clicks your public link, they will be taken to a registration form. After they submit it, Zoom will automatically email them their unique link to join the meeting.
Important Security Reminder
Requiring registration is a powerful tool, but it is not a replacement for active meeting management. The link you post publicly leads to a registration form, not directly to the meeting itself, but you should still be prepared to manage your participants.
