Manage Video Permissions and Visibility in Mediasite

Summary

This guide explains the crucial security settings for your Mediasite presentations. By default, all new videos are private. Following these steps will allow you to control exactly who is able to view your content before you share it.

1. Understanding Mediasite Permissions

There are two layers of visibility for every presentation in My Mediasite: its Status and its Audience.

  • Status: Private vs. Viewable

    • Private: This is the default setting for all new content. When a video is Private, only you, the owner, can see it. It cannot be shared or embedded.
    • Viewable: This status makes the presentation accessible to others. You must set a presentation to "Viewable" before anyone else can watch it.
  • Audience: Who Can Watch a "Viewable" Presentation?

    • My Organization: This is the most common setting for course content. It requires anyone trying to watch the video to first log in with their FAU credentials (FAUNet ID).
    • Everyone (Public): This setting makes the video public on the internet. Anyone with the link can watch it without logging in. Use this setting with extreme caution, especially for any content that includes student images or information, to avoid violating student privacy and FERPA regulations.

2. How to Change Video Permissions

  1. Access your "My Mediasite" portal. For instructions, see our guide: How to Access My Mediasite from Canvas.

  2. Find the presentation you want to manage in your list.

  3. To the right of the presentation title, you will see a Lock icon indicating its current status (e.g., Private). Click on this lock icon. (The permissions slider that appears is a non-obvious but critical interface. A screenshot showing the lock icon and the resulting "Who Can View?" slider would be highly effective here.)

  4. A "Who Can View?" panel will slide out from the right. To make your video shareable, click and drag the slider at the top from Private to Viewable.

  5. Once you select "Viewable," the audience options will appear below.

    • To securely share with your students and colleagues at FAU, select My Organization.
    • Only select Everyone if you intend for the video to be fully public.
  6. The changes are saved automatically. You can now click the X to close the "Who Can View?" panel.

3. Sharing Your Video

Once a presentation's status is set to "Viewable," you can share it. Remember that the link will only work for the audience you selected. For example, if you set the permissions to "My Organization," only people who can log in with an FAUNet ID will be able to watch the video, even if they have the direct link.
