This article explains how to manage Microsoft Teams notifications, adjust channel and conversation notification settings, reduce notification noise, and configure Teams presence to appear in Outlook and other Microsoft 365 applications.
Before you begin: Microsoft Teams settings and notification options may vary depending on your device, Teams version, account permissions, and whether you are using Teams on the web, desktop, or mobile app.

Manage Teams Notification Settings

Use the notification settings in Teams to control which alerts you receive and where those alerts appear.

  1. Open Microsoft Teams.
  2. Select Settings and more, your profile picture, or your initials, depending on your Teams layout.
  3. Select Settings.
  4. Select Notifications and activity.
  5. Review the available notification categories, such as chats, channels, meetings, calendar activity, and other Teams activity.
  6. Use the available drop-down menus or options to choose how notifications should appear.
Note: Depending on your Teams version, options may include settings such as Banner and feed, Only show in feed, or Off.

Manage notifications from Activity

The Activity area shows recent Teams notifications, such as mentions, replies, reactions, missed activity, and other updates.

  1. Select Activity.
  2. Find the notification you want to manage.
  3. Select More options next to the notification.
  4. Choose the available option, such as marking the notification as read or unread.

Manage channel notifications

Channel notification settings let you control how often Teams alerts you about activity in a specific channel.

  1. Go to the team and channel you want to manage.
  2. Select More options next to the channel name.
  3. Select Channel notifications.
  4. Choose the notification settings you want for that channel.

Turn off notifications for a specific conversation

You can turn off notifications for a specific channel conversation if you no longer want updates for that thread.

  1. Go to the conversation you want to manage.
  2. Select More options for the conversation.
  3. Select the option to turn off notifications, mute, or change notifications, depending on your Teams version.
Note: You may still receive notifications if someone directly mentions you.

Reduce or Increase Teams Notifications

Stop or reduce email notifications

Teams may send email notifications for missed activity or other Teams activity depending on your settings.

  1. Open Microsoft Teams.
  2. Open Settings.
  3. Select Notifications and activity.
  4. Look for email or missed activity email settings.
  5. Adjust the setting to reduce or stop email notifications, if available.

Keep notifications in Teams only

To reduce pop-up notifications, set lower-priority activity to appear only in the Teams activity feed when that option is available.

  1. Open Settings.
  2. Select Notifications and activity.
  3. Review the notification category you want to adjust.
  4. Select an option such as Only show in feed if available.

Get notifications in Teams and on your desktop

To receive both desktop alerts and Teams activity feed alerts, choose an option such as Banner and feed when available.

Note: On Windows, notification banners typically appear near the bottom-right of the screen. On macOS, notification banners typically appear near the top-right of the screen.

Use Do not disturb

If you need quiet time, you can set your Teams status to Do not disturb. This does not permanently change your notification settings, but it can reduce interruptions while the status is active.

  1. Select your profile picture or initials.
  2. Select your current status.
  3. Choose Do not disturb.
  4. Change your status again when you are ready to receive notifications normally.

Show Teams Presence in Outlook

Use this section if Teams presence or availability status is not appearing correctly in Outlook or other Microsoft 365 applications.

  1. Open Microsoft Teams.
  2. Select Settings and more, your profile picture, or your initials, depending on your Teams layout.
  3. Select Settings.
  4. Select General.
  5. Look for Register the new Teams as the chat app for Microsoft 365 (requires restarting Microsoft 365 applications) or a similarly named option.
  6. If the option is available, enable it.
  7. Close the Teams settings window.
  8. Close and reopen Outlook and any other Microsoft 365 applications that were open.
Note: The presence setting may not appear in every Teams version or environment. If the option is missing or presence still does not display correctly after restarting Outlook, contact the Help Desk for assistance.

Troubleshooting

  • If notification options look different, you may be using a different Teams version, layout, or device.
  • If you are not receiving expected notifications, confirm that the team, channel, or chat is not muted or hidden.
  • If desktop notifications do not appear, check your Windows or macOS notification settings in addition to Teams settings.
  • If mobile notifications are not appearing, check both the Teams mobile app notification settings and the device notification settings.
  • If Teams presence does not appear in Outlook, enable Register Teams as the chat app for Office if available, then restart Outlook and other Microsoft 365 applications.
  • If Teams settings do not save or presence still does not appear, restart Teams and Outlook, then try again.
