Owl Apps and Google Workspace Overview

Owl Apps provides eligible FAU users access to Google Workspace services, including Google Drive and other Google applications. Some users may also have access to legacy Owl Mail depending on their account type and eligibility.
Email note: Current students should use Microsoft Outlook / Microsoft 365 email instead of Google Owl Mail. Legacy Owl Mail information is provided only for users who still have access.
Storage limit: FAU Google Workspace accounts are limited to 5 GB of total storage. This storage is shared across Google Drive, Gmail, Google Photos, and other Google apps.

What Is Included with Owl Apps?

Owl Apps may include access to Google Workspace services such as:

  • Google Drive: Store, upload, organize, and share files.
  • Google Docs, Sheets, Slides, and Forms: Create and edit Google files.
  • Google Chat: Communicate with other users when available.
  • Legacy Owl Mail: Available only to users who still have access.
Note: Access to specific Google services may depend on your FAU role, account status, and eligibility.

Current Student Email

Current students use Microsoft Outlook / Microsoft 365 email instead of Google Owl Mail.

  1. Go to https://outlook.office.com.
  2. Sign in with your FAU email address.
  3. Complete FAU single sign-on and Microsoft Authenticator verification, if prompted.

Legacy Owl Mail Access

If you still use legacy Google Owl Mail, use the steps below.

  1. Go to https://mail.google.com/a/fau.edu.
  2. Sign in with your FAU account.
  3. Complete FAU single sign-on and Microsoft Authenticator verification, if prompted.
Important: Legacy Owl Mail access may not apply to all users. Current students should use Microsoft Outlook / Microsoft 365 email.

Google Drive Overview

Google Drive can be used to store files, create Google Docs, Sheets, Slides, and Forms, and share files with others.

Go to https://drive.google.com to access Google Drive.

My Drive can include:

  • Files and folders you upload.
  • Files and folders you sync with Google Drive for desktop.
  • Google Docs, Sheets, Slides, and Forms you create.
  • Files or folders you organize in Google Drive.

Storage Limit and Account Activity

FAU Google Workspace accounts are limited to 5 GB of total storage. This storage is shared across Google Drive, Gmail, Google Photos, and other Google apps.

Items that may use storage include:

  • Files in Google Drive.
  • Google Docs, Sheets, Slides, and Forms.
  • Files in Google Photos.
  • Email and attachments in Gmail or Owl Mail, if available for your account.
  • Items in Trash until they are permanently deleted.
Important: If your account reaches its storage limit, you may not be able to create, upload, edit, or store new files. If Owl Mail/Gmail is available for your account, mail functionality may also be affected.

Troubleshooting

  • If you cannot sign in, confirm that you are using the correct FAU account.
  • If you are redirected to FAU single sign-on, sign in with your FAUNet ID and password.
  • If prompted, approve the sign-in using Microsoft Authenticator.
  • If you are over the 5 GB storage limit, delete unnecessary files, emails, photos, and items in Trash.
  • If you are a current student looking for email, use Microsoft Outlook / Microsoft 365 email instead of Google Owl Mail.
