Overview
Group-based roles allow multiple users to perform the same specific action within a form or workflow. Instead of assigning a task to a single person, you assign it to a "Role" (e.g., Department_Reviewers), and anyone in that group can complete it.
Common Uses for Group Roles:
- Workflows: Assigning approval steps to an entire department.
- Digital Signatures: Allowing any authorized member to sign on behalf of a group.
- Access Control: Restricting who can edit forms or view submissions.
- Notifications: Sending task alerts to a shared group email.
How to Assign a Group Role to Your Form
Once your group has been created by an administrator, follow these steps to apply it to your workflow:
- Open your workflow in the Flow Designer.
- Select the specific Form/Step you wish to assign to the group.
- In the Properties panel on the left, locate the Role control box.
- Scroll through the list to find your group name and select it.
Note: Once selected, that specific step in the flow will only be visible and actionable by users belonging to that role.
