Access Microsoft Teams

Access Teams online or install the Microsoft Teams app.

Microsoft Teams can be accessed from a web browser, Windows or Mac computer, or mobile device. Sign in using your full FAU email address and FAU account.

  1. Go to Microsoft Teams on the web .
  2. Enter your full FAU email address.
  3. Sign in with your FAU account.

Teams on the web is also a useful option if the desktop application is unavailable or not working correctly.

  1. Search your computer for Microsoft Teams to see if it is already installed.
  2. If Teams is installed, open the application and sign in with your full FAU email address.
  3. If Teams is not installed, download it from the Microsoft Teams download page .
  4. Install and open Microsoft Teams.
  5. Sign in with your FAU account.
FAU-managed computer: Microsoft Teams may already be installed or managed by OIT. If you are unable to install Teams because installation is restricted, contact the Help Desk.
  1. Open Applications and check whether Microsoft Teams is already installed.
  2. If Teams is installed, open the application and sign in with your full FAU email address.
  3. If Teams is not installed, download it from the Microsoft Teams download page .
  4. Install and open Microsoft Teams.
  5. Sign in with your FAU account.
  1. Open the App Store on an iPhone or iPad, or the Google Play Store on an Android device.
  2. Search for Microsoft Teams.
  3. Install the Microsoft Teams app.
  4. Open Teams and sign in with your full FAU email address.

For the best experience on a mobile device, use the Microsoft Teams mobile app instead of a mobile web browser.

  1. Confirm that you are using your full FAU email address and current FAU account credentials.
  2. Try Teams on the web .
  3. Close and reopen Microsoft Teams.
  4. Restart your computer or mobile device.
  5. Check for available Teams and device updates.
  6. If the problem continues, contact the FAU Help Desk.

If Teams works in your web browser but not in the desktop application, the problem is likely limited to the Teams application or device.

Chat, Teams, and Channels

Communicate with individuals or groups and collaborate in Teams channels.

Microsoft Teams provides private and group chats as well as team-based channels for ongoing group communication and collaboration.

A team is a shared workspace for a department, project, committee, group, or other collaborative purpose.

A channel is a space within a team used to organize conversations, meetings, files, and other content around a topic or activity.

  1. Open Microsoft Teams.
  2. Select Chat, Teams, or the area where your teams and channels are listed, depending on your Teams layout.
  3. Select the appropriate team.
  4. Select a channel to view and participate in its conversations and shared content.
  1. Open Chat.
  2. Select the option to start a new chat or new message.
  3. Enter the name of the person or people you want to message.
  4. Type your message.
  5. Select Send.

Chats can be used for one-to-one or group conversations outside of a team channel.

Use channel conversations when a discussion belongs to the larger team rather than a private chat.

Start or reply to a conversation

  • Open the appropriate team and channel.
  • To begin a new conversation, create a new post or message in the channel.
  • To continue an existing conversation, select Reply so the discussion remains in the same thread.

@Mention someone

Type @ followed by a person’s name and select the person from the list to notify them directly.

  • @name notifies a specific person.
  • @team may notify the entire team when allowed.
  • @channel may notify people in a channel when allowed.
Note: Team owners can limit some mention options and other channel permissions.

Share a file

  1. Open the chat or channel where you want to share the file.
  2. Select the Attach, Actions and apps, or file attachment option near the message box.
  3. Select the file you want to share.
  4. Complete and send your message.

Find a shared file

  • Open the chat or channel where the file was shared.
  • Select the Shared or Files area, depending on your Teams layout.
  • Select the file to open it or use the available file options.

For guidance about long-term file storage, file syncing, or other Microsoft 365 storage services, review the related OneDrive or SharePoint documentation.

Use the search box at the top of Teams to find people, messages, chats, files, and other Teams content.

  1. Select the search box at the top of Teams.
  2. Enter the name, keyword, or other information you want to find.
  3. Select the appropriate result.
  4. Use available filters to narrow the results if needed.

Meetings and Calls

Schedule or join Teams meetings, make calls, and share your screen.

From Microsoft Teams

  1. Open Microsoft Teams.
  2. Select Calendar.
  3. Select New, New meeting, or select a time on the calendar.
  4. Make sure the meeting is configured as a Teams meeting if that option is displayed.
  5. Enter the meeting title, attendees, date, time, and other details.
  6. Select Save or Send.

From New Outlook or Outlook on the Web

  1. Open Calendar.
  2. Select New event.
  3. Turn on the Teams meeting option.
  4. Add the meeting details and attendees.
  5. Select Send.

From Classic Outlook

  1. Open the Outlook calendar.
  2. Create a new meeting.
  3. Select the Teams Meeting option.
  4. Add the meeting details and attendees.
  5. Select Send.
Teams Meeting option missing in Outlook? Make sure you are signed in to Teams and Outlook with your FAU account, restart both applications, and check for available Microsoft 365 updates.
  1. Open the meeting from your Teams or Outlook calendar, or open the meeting invitation.
  2. Select Join or the Teams meeting link.
  3. If prompted, choose whether to join using the Teams application or your web browser.
  4. Review your microphone, camera, and audio settings.
  5. Select Join now.
Note: Depending on the meeting settings, you may enter the meeting immediately or wait in the meeting lobby until an organizer admits you.

Start an instant meeting

  1. Open Teams and select Calendar or the appropriate chat or channel.
  2. Select Meet now where available.
  3. Configure your microphone and camera.
  4. Start the meeting and invite participants.

Call another Teams user

  1. Open a chat with the person or group.
  2. Select Audio call or Video call.

Calling options may vary depending on your account and the Teams services available to you.

  1. Join or start a Teams meeting or call.
  2. Select Share from the meeting controls.
  3. Select the screen, window, or other content you want to present.
  4. When you are finished, select Stop presenting or Stop sharing.
Privacy reminder: If you share your entire screen, participants may be able to see notifications or other information that appears on that screen. Close sensitive information or enable Do not disturb before presenting.

Create and Manage a Team

Create teams and manage channels, members, owners, and guests.

Before you begin: Some management options are available only to team owners and may depend on FAU or Microsoft Teams settings.
  1. Open Microsoft Teams.
  2. Open the area where your teams and channels are listed.
  3. Select New, New items, New team, or Create team, depending on your Teams layout.
  4. Choose the available option for creating a new team.
  5. Enter the team name and description.
  6. Select the appropriate privacy option if prompted.
  7. Select Create.
  8. Add members when prompted or add them after the team is created.
Cannot create a team? Team creation can be restricted by organizational settings. If the option is unavailable to your FAU account, contact the Help Desk for assistance.

You must be a team owner to manage team membership and owner roles.

Add a member

  1. Go to the team.
  2. Select More options next to the team name.
  3. Select Add member.
  4. Enter the person’s name or other available group information.
  5. Select Add.

Review or remove members

  1. Select More options next to the team name.
  2. Select Manage team.
  3. Open the Members area.
  4. Review the team’s owners, members, and guests.
  5. Use the available option next to a person to remove them from the team if needed.

Make a member an owner

  1. Open Manage team.
  2. Open the Members area.
  3. Locate the member.
  4. Use the Role option next to the person and select Owner.
Recommendation: Teams used for departments, projects, or other ongoing work should have more than one appropriate owner so management does not depend on a single person.

Team owners may be able to add external users as guests when guest access is available.

Add a guest

  1. Go to the team.
  2. Select More options next to the team name.
  3. Select Add member.
  4. Enter the external user’s full email address.
  5. If prompted, confirm the person as a guest and enter their display name.
  6. Select Add.

Review guests

  1. Select More options next to the team name.
  2. Select Manage team.
  3. Open the Members area.
  4. Review users identified as Guest.
Guest cannot be added? Guest access must be permitted by organizational settings. If Teams does not allow you to add the external user, contact the Help Desk for assistance.

Create a channel

  1. Go to the team where you want to create the channel.
  2. Select More options or Manage channels.
  3. Select the option to Add or Create channel.
  4. Enter the channel name and optional description.
  5. Select the appropriate channel type or privacy setting if prompted.
  6. Select Create or Done.

Delete a channel

  1. Select More options next to the channel.
  2. Select Delete channel if available.
  3. Confirm the deletion.
Important: Deleting a channel removes its conversation history. Only delete a channel when you are sure it is no longer needed.

Restore a deleted channel

  1. Go to the team that contained the deleted channel.
  2. Select More options next to the team name.
  3. Select Manage team.
  4. Open the Channels area.
  5. Locate the channel under Deleted.
  6. Select Restore.

Deleted channels are recoverable only for a limited period. If the channel is no longer listed for recovery, contact the Help Desk.

Notifications and Presence

Manage Teams alerts, reduce interruptions, and troubleshoot Teams status in Outlook.

  1. Open Microsoft Teams.
  2. Select Settings and more near your profile picture or initials.
  3. Select Settings.
  4. Select Notifications and activity.
  5. Review notification settings for chats, channels, meetings, calendar activity, and other Teams activity.
  6. Adjust the available options based on how you want to receive notifications.

Notification options may vary slightly depending on your device and version of Teams.

Channel notifications

  1. Go to the team and channel you want to manage.
  2. Select More options next to the channel.
  3. Select Channel notifications.
  4. Choose the notification options you want for that channel.

Mute or change notifications for a conversation

  1. Locate the chat, channel conversation, or thread you want to manage.
  2. Select More options.
  3. Select the available option to mute or change notifications.

Direct mentions and certain priority activity may still notify you depending on your Teams settings.

Reduce notification activity

Use Settings > Notifications and activity to reduce alerts from less important Teams activity.

You can also manage notifications for individual chats, channels, meetings, and conversations instead of disabling all Teams notifications.

Use Do not disturb

  1. Select your profile picture or initials.
  2. Select your current Teams status.
  3. Select Do not disturb.
  4. Change your status when you are ready to receive notifications normally.
Desktop or mobile notifications still not appearing? Check the notification settings for Microsoft Teams in Windows, macOS, iOS, or Android in addition to the settings inside Teams.

Outlook can display Teams presence information such as Available, Busy, Do not disturb, Away, and Offline.

If Teams status is not appearing correctly in Outlook:

  1. Make sure you are signed in to Microsoft Teams with your FAU account.
  2. Close and reopen Teams and Outlook.
  3. Make sure Teams and Outlook are updated.

CLASSIC OUTLOOK

If online status is hidden in Classic Outlook, select File > Options > People, then make sure Display online status next to name is enabled.

If Teams status still does not appear correctly after restarting both applications, contact the Help Desk for assistance.
