Microsoft Teams Phone Calling Guide

Prerequisites: 

  • Microsoft Teams mobile app installed
  • Signed in with FAU account

 

Steps to Answer a Phone Call Using Teams

When someone calls you, you will receive a notification:

 

Steps to Place a Phone Call on Teams

From the Chat:

  1. Open a chat with the person you want to call.
  2. Click on the Video call or Audio call button in the upper-right corner of the chat window. 

By Call History:

  1. In the Calls menu, find the person or phone number you want to call.
  2. Hover over the name/number and click the Call button next to their name.

By Contacts:

  • To add contacts:
    1. Go to the Calls tab in the left sidebar.
    2. Click on View Contacts in the top-right corner, this will take you to the People tab.
      • You can pin this tab by right clicking on People and selecting Pin.
    3. Select the Add contact button.
    4. Enter the contact’s name or number.
    5. Click Add to save.
  • To make calls from contacts:
    1. Go to the People menu, hover over the user's name to see the:
      • Audio call 
      • Video call 

With the Dial Pad:

  1. In the Calls menu, use the dial pad like a typical phone.
  2. Make a call by typing the name or phone number of the individual you wish to call.

From Profile Picture:

  1. Hover over someone's profile picture/name.
  2. Click the Audio or Video call icon that appears.

Using Commands:

  1. Type /call in the search bar at the top of Teams and click Enter. 
  2. Enter the name or number of the person you want to call and press Enter.

 

How to Use Call Controls 

Hold a Call:

  1. During a call, click on Hold in the call menu bar at the top of the screen.
  2. To resume the call, click Resume.

Transfer a Call:

  1. Click on the Transfer button in the call menu bar.
  2. Click Transfer again to directly transfer the call or click Consult then Transfer to consult the recipient before transferring.
  3. Type the name of the person you want to transfer the call to and select them from the list.
  4. Toggle on the 'Ring back if there's no answer' option if you would like the call returned to you if there is no answer.
  5. Click Transfer to complete the process.

 

Add Someone to the Call:

  1. In the top menu bar, click on People
  2. Type the name or number of the person you want to call.
  3. Once their name or number is selected, the user will be called.

Merge a Call:

  1. While on a call, select Hold to put the current call on hold 
  2. After putting the first call on hold, if you are making a new call, open up the regular Teams menu and clicking the Calls tab on the left menu. Use the dial pad or search for a person by name to call.
  3. Once the second call begins, go to the call controls and click on More.
  4. Select Merge Calls to combine the two calls into one.
  5. Then click Merge to merge both calls, allowing you to have a group conversation.

Call Handling and Forwarding:

  1. Next to your profile photo, in the top right corner of Teams click the three dots and then select Settings.
  2. Click the Calls menu on the right side.
  3. Under Call handling and forwarding
  4. You can choose to forward your calls to voicemail, a contact, or a new phone number.

To Put a Call on Park:

  1. While on a call, click More in the top call menu.
  2. Choose the Call park option from the menu.
  3. Teams will generate a unique code for the parked call.
  4. Make a note of this code.

To Retrieve a Parked Call:

* If you don't see the call park option and you require this feature submit a ticket to telecoms.

  1. Go to the Calls tab in Teams.
  2. Under the dial pad select Parked Calls.
  3. Enter the code and click Pick up.
  4. If no one picks up the parked call within 5 minutes, it will ring again.

 

Troubleshooting

  • Notifications not appearing? Ensure Teams has notification permissions enabled in your phone settings.
