Using Zoom to record to Mediasite

 

Why Use This Integration?

Sending your Zoom recordings directly to Mediasite offers several key advantages:

  • Advanced Tools: You can use Mediasite’s powerful editing and management tools on your recording.
  • Permanent Storage: Videos in Mediasite do not expire, unlike standard Zoom cloud recordings which may have a retention limit.
  • Automatic Captions: The recording will be automatically captioned using Zoom's high-quality transcription service at no cost.

Before You Begin (Prerequisites)

To use this feature, you must have:

  1. An active FAU Zoom account.
  2. An active FAU "My Mediasite" account. (For instructions on accessing your account, see our guide: How to Access My Mediasite from Canvas).

Step-by-Step Configuration

This feature must be enabled for each meeting individually during the scheduling process on the FAU Zoom Web Portal.

  1. Open a web browser and go to the FAU Zoom Web Portal: https://fau-edu.zoom.us and sign in.
  2. Click Meetings in the left navigation menu, then click the Schedule a Meeting button.
  3. Configure your standard meeting settings (Topic, Date, Time, etc.). For security, it is still recommended to enable a Waiting Room.
  4. Scroll down to the Meeting Options section.
  5. Check the box for Record the meeting automatically.
  6. Once checked, ensure the In the cloud option is selected.
  7. More options will appear. Find the dropdown menu labeled Import to Mediasite and select Yes. Uploaded Image (Thumbnail)
  8. (Optional) If you use a Module ID for your course, you can enter it in the provided field to automatically associate the video. Otherwise, leave this field blank.
  9. Click Save.

Your meeting is now configured. When you host this meeting, its cloud recording will be flagged for import into Mediasite.


What to Expect After Your Meeting

After you have finished your meeting and clicked "End Meeting," the import process will begin, but please be aware of the timing.

Crucial Timing Information: The automatic import process will NOT begin until after the scheduled end time of your meeting has passed.

  • Example: You schedule a meeting from 1:00 PM to 2:00 PM, but you finish early and end the meeting at 1:30 PM. The import process will not start until after the original 2:00 PM scheduled end time.

Once the process begins, it may still take several hours for the video and its transcript to become available in your My Mediasite portal, though it is often faster for shorter recordings.
