Overview
If you cannot find an email in Outlook especially one from several years ago the message may still exist, but Outlook may not be displaying it due to sync limits, filters, archiving, or view settings. The steps below will help you locate and restore old emails.
Step 1 — Check Outlook on the Web (OWA)
Before troubleshooting the Outlook desktop app, check whether the email exists in the cloud.
- Visit https://outlook.office365.com
- Search using All Folders or All Mailboxes
- If the email appears in OWA, the issue is with Outlook on your computer, not the mailbox.
✔ Outlook on the Web is the most accurate view of your mailbox.
Step 2 — Check Deleted Items & Recover Deleted Items
Your message may have been accidentally deleted.
- Open Deleted Items
- Select Recover items deleted from this folder
- Restore the message if found
Step 3 — Check Filters and View Settings
Outlook may hide old email due to applied filters.
Check for:
- Focused Inbox
- Unread Only
- Mentioned Only
- Date Filters
- Collapsed folders
Outlook App Steps:
- Go to View > View Settings
- Disable Focused Inbox
- Clear all filters
Step 4 — Adjust “Mail to Keep Offline”
Outlook by default only keeps 12 months of email on your computer, even though older mail still exists on the server.
- Open Outlook
- Go to File > Account Settings > Account Settings
- Select your email account → Change
- Find the Mail to Keep Offline slider
- Move it all the way to the right to All Mail
- Click Next, then restart Outlook
- Wait for Outlook to re-sync your older email (can take time)
Step 5 — Check Outlook’s Archive Folder
Older emails may have been auto‑archived.
- Check the Archive folder
- Check any Online Archive (larger mailboxes)
Step 6 — Check for Rules Moving or Deleting Mail
A rule may have routed the email to another folder.
- Home > Rules > Manage Rules & Alerts
- Review rules that move, delete, or archive emails
Step 7 — Use Search Folders (Advanced Retrieval)
You can create a search folder specifically for older mail.
- Go to Folder > New Search Folder
- Scroll to Organizing Mail
- Select Old Mail
- Choose “Older than…” → set timeframe (e.g., 24+ months)
- Select your mailbox → OK
Step 8 — Check Retention & Auto-Archive Policies
Some accounts apply automatic retention or archive policies.
If your messages are older than the retention window, they may have been moved.
- Policies are managed by Office 365 / Exchange administrators
- Contact the Help Desk if you suspect a retention policy issue.
