Frevvo Group Roles

Overview

Group-based roles allow multiple users to perform the same specific action within a form or workflow. Instead of assigning a task to a single person, you assign it to a "Role" (e.g., Department_Reviewers), and anyone in that group can complete it.

Common Uses for Group Roles:
  • Workflows: Assigning approval steps to an entire department.
  • Digital Signatures: Allowing any authorized member to sign on behalf of a group.
  • Access Control: Restricting who can edit forms or view submissions.
  • Notifications: Sending task alerts to a shared group email.

How to Assign a Group Role to Your Form

Once your group has been created by an administrator, follow these steps to apply it to your workflow:

  1. Open your workflow in the Flow Designer.
  2. Select the specific Form/Step you wish to assign to the group.
  3. In the Properties panel on the left, locate the Role control box.
  4. Scroll through the list to find your group name and select it.
Note: Once selected, that specific step in the flow will only be visible and actionable by users belonging to that role.
