How to Set Up and Access Voicemail in Microsoft Teams

Prerequisites:

  • Microsoft Teams desktop app installed
  • Signed in with FAU account
  • Voicemail feature enabled by Telecom

 

Record a Personal or Out-of-Office Voicemail Greeting

  1. Go to Settings > Calls.
  2. Scroll down and click Manage Voicemail.
  3. Click Record a Greeting to record a personal message.
  4. Alternatively, use the text-to-speech customized greeting option (note: recorded greetings override this).

 

Set an Out-of-Office Voicemail Greeting

  1. In the Calls setting menu, scroll to Manage out-of-office Voicemail.
  2. Type your out-of-office greeting in the Your custom greeting box.
  3. This greeting will only play if automatic replies are turned on.

 

Schedule Out-of-Office and Set Automatic Replies

  1. Go to Settings > General.
  2. Scroll to Out of office and click Schedule.
  3. Toggle on automatic replies and enter your out of office message.

 

Access Your Voicemail Inbox

  1. In Teams, click Calls, then select the Voicemail tab.
  2. Select a voicemail to view the transcript and listen to the recording.
  3. You will also receive an email with the transcript and an MP3 attachment.
  4. To return a call, hover over the caller’s name or number and click  Call.

 

Troubleshooting

  • Voicemail not recording? Ensure your microphone is working and Teams has permission to access it.
  • Out-of-office greeting not playing? Make sure automatic replies are enabled in Teams.
